Privacy Policy

1. Who We Are
Permit Pilot is operated by Brenden Cannon, doing business as Permit Pilot ("we," "us," or "our"). We operate the website mypermitpilot.com and provide a permit tracking and lead generation service for contractors in Austin, Texas. You can reach us at mypermitpilot@gmail.com.
2. Information We Collect
We collect the following information when you use Permit Pilot:
- Account information — your name, company name, and email address when you sign up.
- Job and permit data — addresses and permit numbers you add to your dashboard.
- Trade specialties — the trades you select to receive matching permit leads.
- Lead activity — notes, follow-up dates, and status updates you record on leads.
- Usage data — standard server logs including IP address, browser type, and pages visited.
3. Cookies
We use cookies solely for session authentication — to keep you logged in while you use the Service. We do not use tracking, advertising, or analytics cookies. You can disable cookies in your browser, but doing so will prevent you from logging in.
4. How We Use Your Information
- To provide and operate the Permit Pilot service.
- To match you with relevant permit leads based on your trade specialties.
- To send you daily lead digest emails and permit status alerts (only if you have opted in).
- To respond to support requests and feedback.
- To monitor and improve the reliability of the service.
We do not sell your personal information to third parties. We do not share your personal information with third parties except as necessary to operate the Service (see Section 10 — Third-Party Services).
5. Public Data Sources
Permit Pilot displays data from publicly available sources, including the City of Austin's open permit database (data.austintexas.gov) and the Travis Central Appraisal District (TCAD). Property owner names, addresses, and appraised values shown on lead cards are drawn from these public records and are not sourced from your account information.
6. Data Storage and Security
Your data is stored in Supabase, a SOC 2 Type II certified cloud database provider. All data is transmitted over HTTPS. Access to your account data is restricted by row-level security policies — no other user can access your information. We use Vercel, a SOC 2 certified hosting provider, to serve the application.
While we take reasonable precautions to protect your data, no system is completely secure. We encourage you to use a strong, unique password for your account.
7. Email Communications
We send transactional emails (account verification, password reset) and, if you opt in, daily lead digest emails and permit status alerts. You can disable alert emails at any time from your Profile page. Transactional emails cannot be opted out of as they are required for account security.
8. Data Retention
We retain your account data for as long as your account is active. Lead records are retained for up to 12 months. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal or operational purposes.
9. Your Rights
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information in your account.
- Request deletion of your account and associated data.
- Opt out of non-essential email communications.

10. Third-Party Services
We use the following third-party services to operate Permit Pilot. Your data may be processed by these providers solely as necessary to deliver the Service:
- Supabase — database and authentication.
- Vercel — application hosting.
- Resend — transactional and alert email delivery.
- Sentry — error monitoring.
Each of these providers has their own privacy policies governing their handling of data. We do not authorize any of these providers to use your data for their own purposes.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the site. Continued use of Permit Pilot after changes take effect constitutes your acceptance of the updated policy.
